About the role:

We are seeking a highly organized and proactive individual to join our team in a Client Services and Business Administration role. The successful candidate will provide essential administrative support to directors, accountants, and managers while ensuring smooth operations for clients. This is a multifaceted role that involves a variety of responsibilities, including document management, client interaction, and liaising with external organisations.
Key Responsibilities:
- General Administration:
- Prepare and type general letters, including interim letters for accountants and client meeting minutes.
- Take minutes during internal meetings and prepare client meeting agendas.
- Draft financial letters and engagement letters as required by accountants.
- Create and prepare PowerPoint presentations and Excel documents when needed.
- Perform binding, scanning, and laminating tasks.
- Proactively assist directors, accountants, bookkeeping team, and managers with administrative needs.
- Provide support to other admin team members when necessary.
- Serve as backup for reception when required.
- Handle client and bank information requests.
Client File and Invoicing Management:
- Compile and maintain client files, ensuring all documents are accurately recorded.
- Process invoicing through Xero Blue and Ignition when sending out client documents for signing.
- Ensure timely invoicing and approvals within the system.
- Send client documents, including ITRs, group financials, and returns, via DocuSign.
ATO Liaison and Client Services:
- Liaise with the Australian Taxation Office (ATO) for payment plans, remissions, and correspondence.
- Manage client detail changes, onboarding, and offboarding.
- Oversee Work in Progress (WIP) and liaise with relevant teams.
Corporate and Secretarial Services:
- Manage CAS/ASIC/Corporate Secretarial tasks, including sending reviews, invoices, share transfers, and directorship or company name changes.
Annual Agreements and Subscriptions:
- Manage annual agreements, including scheduling tasks and renewals, liaising with accountants to ensure tasks are completed on time.
- Ensure Xero subscriptions are reconciled and charged to clients appropriately.
Reporting and Workflow:
- Collate and prepare various reports.
- Manage a yearly calendar of events and conduct workflow in consultation with the calendar.
- Oversee XPM database management to ensure accurate record-keeping.
Skills and Qualifications:
